Job Description

 

  • Monitor and maintain accurate employee attendance records in the Biometric Attendance System.
  • Verify daily attendance transactions, including late arrivals, early departures, absenteeism, missed punches, and attendance exceptions.
  • Generate and distribute daily attendance reports to the respective Department Heads (HODs).
  • Ensure all attendance records are complete, accurate, and supported by appropriate documentation.
  • Follow up on attendance discrepancies and obtain the necessary approvals before processing any corrections.
  • Assign employee work shifts in the Biometric Attendance System before the commencement of each month.
  • Update approved shift changes upon receipt of written authorization from the respective HOD.
  • Maintain accurate records of shift assignments and approved amendments.
  • Ensure employees are assigned to the correct department, reporting manager, and work schedule.
  • Process attendance corrections only upon receipt of written approval from the relevant HOD.
  • Verify supporting documents, including attendance registers, gate registers, logbooks, duty rosters, and approval emails.
  • Ensure actual clock-in and clock-out times are accurately captured for all approved manual entries.
  • Maintain complete records of attendance correction requests and approvals for audit and compliance purposes.
  • Monitor repeated manual attendance adjustments, identify trends, and report findings to the Unit HR Lead for further review.
  • Verify employee eligibility before processing overtime (OT) claims.
  • Ensure all overtime claims are supported by duly approved overtime authorization from the relevant HOD.
  • Review excessive or unusual overtime claims and seek clarification where necessary.
  • Monitor non-OT-eligible employees to prevent unauthorized overtime payments.
  • Verify approvals for work performed on public holidays and scheduled days off before payroll processing.
  • Ensure duplicate payments are avoided for employees receiving separate incentives, allowances, or other compensation.
  • Verify leave balances against approved leave applications and attendance records.
  • Process leave transactions accurately in accordance with labour laws, company policies, and applicable Collective Bargaining Agreements (CBA).
  • Ensure leave transactions are recorded within the correct leave cycle.
  • Verify public holiday entitlement for employees on leave or during intervening absence periods.
  • Verify and reconcile attendance data before payroll processing.
  • Prepare and submit monthly attendance reports within established payroll deadlines.
  • Ensure attendance records are finalized on or before the 26th day of each month.
  • Maintain payroll attendance reports and all supporting documentation.
  • Prevent unauthorized modifications to attendance records after payroll processing.
  • Maintain attendance records, approvals, reports, and supporting documentation in accordance with audit requirements.
  • Support weekly and periodic attendance audits conducted by the Human Resources Department.
  • Monitor attendance trends, including absenteeism, lateness, excessive overtime, and repeated attendance corrections, and report significant findings.
  • Obtain attendance confirmation for assigned drivers from the respective vehicle users or authorized managers where applicable.
  • Adhere to the Maker–Checker–Approver principle and maintain proper segregation of duties in all attendance processes.
  • Escalate suspected attendance manipulation, proxy attendance, policy violations, or fraudulent activities to the Unit HR Lead for investigation and corrective action.
  • Ensure compliance with company policies, labour legislation, internal controls, and statutory requirements related to attendance and payroll administration.
